Hello and welcome to "Health for a Lifetime" 00:00:47.94\00:00:49.61 I'm your host Don Mackintosh 00:00:49.64\00:00:51.01 We're glad that you've taken time out of your 00:00:51.04\00:00:52.87 busy schedule to be with us, 00:00:52.90\00:00:54.16 and also Dr. MacCarty, we're glad that you're here. 00:00:54.19\00:00:57.10 We're going to talk about time management 00:00:57.13\00:00:58.75 as it relates to stress today, 00:00:58.78\00:01:00.99 and I understand that, really, stress is your specialty... 00:01:01.02\00:01:03.98 As we were talking, you let me know that 00:01:04.01\00:01:06.51 you are a fellow of "The Institute of Stress" 00:01:06.54\00:01:08.98 and you also were the opening speaker for the 00:01:09.01\00:01:11.13 Eleventh Congress on Stress in Hawaii, I think in the year 2000 00:01:11.16\00:01:14.52 And so we're just glad that you are bringing your 00:01:14.55\00:01:16.10 bringing your rich experience to us today. 00:01:16.13\00:01:19.82 Tell me, how is it that we relate to stress? 00:01:19.85\00:01:22.97 What is a model we can use to help us understand it? 00:01:23.00\00:01:25.76 I have a seminar I do, Don, and we talk about the 00:01:25.79\00:01:28.62 "stress tank" - I got this model out of Australia... 00:01:28.65\00:01:31.17 And "stress tank" - basically you think of your life as a tank 00:01:31.20\00:01:35.07 and stresses are being poured 00:01:35.10\00:01:37.01 into this tank every day of our lives, 00:01:37.04\00:01:39.22 and if the tank fills up to the overflow point, 00:01:39.25\00:01:41.79 various kinds of harm can happen... 00:01:41.82\00:01:43.83 It can be physical illness and mental problems, 00:01:43.86\00:01:48.22 accident proneness, etcetera. 00:01:48.25\00:01:49.74 Fortunately, there is a pressure relief valve on the stress tank 00:01:49.77\00:01:53.01 and the pressure relief valve can prevent our 00:01:53.04\00:01:55.37 stress tanks from rising to the overflow point, 00:01:55.40\00:01:57.64 and there are 7 keys keeping that relief valve opened, 00:01:57.67\00:02:01.42 and there are also ways we can close the 00:02:01.45\00:02:03.22 pressure relief valve thinking we are helping things. 00:02:03.25\00:02:05.27 Smoking, alcohol - gives short-term relief 00:02:05.30\00:02:08.46 can actually close the pressure relief tank, 00:02:08.49\00:02:10.58 and then there are things we can 00:02:10.62\00:02:12.27 do to create a larger stress tank. 00:02:12.30\00:02:13.92 In our seminar, we unpack all those things, 00:02:13.95\00:02:16.45 and there are 7 keys to managing stress. 00:02:16.48\00:02:20.66 Those 7 keys... Prayer, relaxation, exercise, 00:02:20.69\00:02:26.26 those are the keys? Those are the keys. 00:02:26.29\00:02:27.70 And time management is one of those keys, 00:02:27.73\00:02:30.54 and to have the pressure relief valve fully opened, 00:02:30.57\00:02:33.25 you keep all those 7 keys active in your life. 00:02:33.28\00:02:36.55 They all look very important but how important 00:02:36.58\00:02:38.46 would you say, if you're looking just at the component 00:02:38.49\00:02:40.55 of time management - how important is that? 00:02:40.58\00:02:42.79 Well, I have a stress pyramid that I have developed, 00:02:42.82\00:02:45.76 and the stress pyramid puts the 7 keys in a hierarchal order... 00:02:45.79\00:02:51.14 And the bottom 4 on that stress pyramid, they go from the least 00:02:51.17\00:02:55.54 important to the most important at the top. 00:02:55.57\00:02:58.63 So exercise, healthy eating, that's foundational. 00:02:58.66\00:03:01.25 Relaxation and then management/organization, 00:03:01.28\00:03:03.80 that's probably where you have time management, is that correct 00:03:03.83\00:03:06.00 Time management and organization 00:03:06.03\00:03:07.76 that's where time management comes in. 00:03:07.79\00:03:09.21 Those are foundational elements, 00:03:09.24\00:03:11.21 and time management is quite important 00:03:11.24\00:03:12.93 for stress management. 00:03:12.96\00:03:14.11 It's at the bottom at that pyramid or pretty near it. 00:03:14.14\00:03:17.06 What is the goal of time management - would you say? 00:03:17.09\00:03:20.21 The goal of time management is to be able to have the 00:03:20.24\00:03:24.17 things in our lives, Don, that we feel are 00:03:24.20\00:03:27.25 the MOST important and to be able to accomplish them. 00:03:27.28\00:03:31.98 We all have things we think are very important in our lives, 00:03:32.01\00:03:34.15 but there are so many areas of our lives that are 00:03:34.18\00:03:38.04 pulling at us that we can get into that time management 00:03:38.07\00:03:41.69 helps us to focus on THE MOST IMPORTANT THINGS, 00:03:41.72\00:03:43.70 and be able to accomplish those. 00:03:43.73\00:03:44.98 Okay, talking about that... What then would be 00:03:45.01\00:03:47.82 FIRST STEP in time management? 00:03:47.85\00:03:49.72 That's the Determine Your Goals 00:03:49.75\00:03:52.15 Determine your goals - talk to me about that a little bit. 00:03:52.18\00:03:54.54 How do you do that - how do you determine your goals? 00:03:54.58\00:03:56.26 I mean, I have so many things 00:03:56.33\00:03:57.43 I want to accomplish... that sometimes, you know 00:03:57.46\00:03:59.80 ...this is going to be helpful to me, 00:03:59.83\00:04:01.34 and I'm sure it's going to be helpful to those listening. 00:04:01.37\00:04:02.93 Well, it simply means writing down your goals, 00:04:02.96\00:04:06.17 and GOAL - to define a goal, a goal is something that you 00:04:06.20\00:04:11.72 want to achieve - it's important to you. 00:04:11.75\00:04:13.70 That is desirable for you and it should be desirable; 00:04:13.73\00:04:18.98 it should be reachable - something you can accomplish, 00:04:19.01\00:04:22.25 and it should be measurable, 00:04:22.28\00:04:23.87 so you can know when you've reached it; 00:04:23.90\00:04:25.15 you know when the ball has got in the hoop so-to-speak. 00:04:25.18\00:04:28.91 And the goals can be... 00:04:28.94\00:04:30.89 Some people think of time management 00:04:30.92\00:04:33.21 and they often think - Oh you're talking about 00:04:33.24\00:04:36.13 just the workplace here. 00:04:36.16\00:04:37.51 No... we're talking about personal goals, family goals, 00:04:37.54\00:04:41.03 occupational goals - it's life-enriching dreams 00:04:41.06\00:04:47.86 that you want to accomplish. 00:04:47.89\00:04:49.90 And those change, probably from time-to-time. 00:04:49.93\00:04:51.99 They change from time-to-time. 00:04:52.02\00:04:53.05 Yes they do, you accomplish goals, 00:04:53.08\00:04:54.69 and others come up to the top. 00:04:54.72\00:04:56.54 So looking a little more closely at that and defining that, 00:04:56.57\00:05:01.50 what are some of the practical steps 00:05:01.53\00:05:03.64 we could take in setting those goals - defining them? 00:05:03.67\00:05:06.23 Well, I've been impressed by 3 steps that Alan Lakein 00:05:06.26\00:05:10.97 in an excellent book called... 00:05:11.01\00:05:12.04 "How to Gain Control and Your Life" has suggested, 00:05:12.08\00:05:14.59 and I went through these in 1990. 00:05:14.62\00:05:17.90 The first step is simply - List goals you would like to 00:05:17.93\00:05:20.35 accomplish during your lifetime. 00:05:20.38\00:05:21.58 You just take a piece of paper, and you only allow yourself 00:05:21.61\00:05:23.71 like 5 minutes to do this. 00:05:23.74\00:05:25.55 List ALL the things you'd like to accomplish in your lifetime. 00:05:25.58\00:05:27.92 You just have this long list of things, 00:05:27.95\00:05:29.54 then you put it aside for a while. 00:05:29.57\00:05:31.31 And #2 is - you take another sheet of paper and you list 00:05:31.34\00:05:34.02 all the things you'd like to accomplish in the next 3-5 years 00:05:34.05\00:05:37.60 And then you do only allow yourself just maybe 00:05:37.63\00:05:41.97 5 minutes maximum for that. 00:05:42.00\00:05:43.45 Put it aside and then your last one is 00:05:43.48\00:05:45.77 if you knew you were going to die in the next 6 months, 00:05:45.80\00:05:47.87 what would you for sure NOT want to leave undone? 00:05:47.90\00:05:51.61 That's a powerful question! 00:05:51.64\00:05:52.95 A very powerful question, and you write all the 00:05:52.98\00:05:54.87 things down you don't want to leave undone 00:05:54.90\00:05:56.90 if you're going to die in the next 6 months. 00:05:56.93\00:05:58.75 Then you have these 3 lists now... 00:05:58.78\00:06:01.20 You put them aside for a day or so and then you 00:06:01.23\00:06:03.17 come back to them later, and once you kind of ascertain 00:06:03.20\00:06:07.51 that those are the things really that - 00:06:07.54\00:06:09.33 "yes, that's what I'd like to accomplish in my lifetime; 00:06:09.36\00:06:11.80 that's what I'd like to accomplish in the next 3-5 years 00:06:11.83\00:06:14.15 ...that's what I want to be sure 00:06:14.18\00:06:15.62 to not leave undone in the next 6 months" 00:06:15.65\00:06:17.11 Then you've got at least a set 00:06:17.15\00:06:18.67 of goals you can start working with. 00:06:18.71\00:06:21.71 I don't suggest, Don, that you do this out of your own head, 00:06:21.74\00:06:26.05 you do it prayerfully. 00:06:26.08\00:06:28.29 Spiritual people think... 00:06:28.33\00:06:29.51 Well, time management, it's not spiritual enough, 00:06:29.54\00:06:32.41 but it is - you make it a prayerful experience... 00:06:32.44\00:06:34.98 And once you get those lists, 00:06:35.01\00:06:36.98 you say - "God is this really the list that would honor you?" 00:06:37.01\00:06:41.19 These things being accomplished in my life, 00:06:41.22\00:06:42.86 is this what You want me to do?" 00:06:42.89\00:06:45.19 And you get kind of a sense of satisfaction... Yes that's 00:06:45.22\00:06:49.93 That's where I need to go, that's where I'm headed. Yeah 00:06:49.96\00:06:51.62 So like David said - "I want a temple to be built for the Lord" 00:06:51.65\00:06:55.71 He got it all together, he didn't execute it, per se, 00:06:55.74\00:06:59.19 but Solomon did and he had planned it, 00:06:59.22\00:07:01.74 and came as a result of what God had put in his mind. 00:07:01.77\00:07:04.25 And the thing is, Don, that came out of his experience 00:07:04.28\00:07:07.04 with God. 00:07:07.07\00:07:08.31 All the wonderful things he accomplished in his life, 00:07:08.34\00:07:10.22 but the dream that he had was to build that temple. 00:07:10.25\00:07:14.24 That became his #1 goal; 00:07:14.27\00:07:17.13 toward the end of his life it became his passion - 00:07:17.16\00:07:20.04 was to be able to get all those materials together 00:07:20.07\00:07:21.88 for the building of that temple, 00:07:21.91\00:07:23.33 and that came out of his experience with God. 00:07:23.36\00:07:24.97 Our top priority goals really do grow out of our relationships 00:07:25.00\00:07:29.85 and especially for spiritual people, 00:07:29.88\00:07:32.04 their relationship with God. 00:07:32.07\00:07:33.52 So out of your devotional experience, 00:07:33.55\00:07:36.36 really, this can happen. It can - it can 00:07:36.39\00:07:39.62 After you've set these goals, then what do you do next? 00:07:39.65\00:07:42.30 #2 on the list, Don, is to then prioritize the goals. 00:07:42.33\00:07:48.22 Prioritize them - you have all these goals, 00:07:48.25\00:07:50.77 and what you have to do is, 00:07:50.80\00:07:52.22 first of all, you take the goals on your personal list, 00:07:52.25\00:07:56.07 and you just start writing down if you could ONLY 00:07:56.10\00:07:58.21 accomplish one of them. 00:07:58.24\00:07:59.52 Let's say I have 20 things on my personal list 00:07:59.55\00:08:02.31 of lifetime goals or whatever... 00:08:02.34\00:08:04.15 and I can only accomplish one of those, 00:08:04.18\00:08:05.53 what would I want to be sure and have accomplished... 00:08:05.56\00:08:10.03 And if God will say it - "Okay, I will let you 00:08:10.06\00:08:11.68 accomplish 2 of them" 00:08:11.71\00:08:12.74 What would the second one be? 00:08:12.77\00:08:14.50 And again, you make this a prayerful experience, 00:08:14.53\00:08:15.97 and you work right on down to #20 00:08:16.00\00:08:18.26 And then you do the same thing with family goals, 00:08:18.29\00:08:20.90 with occupational goals and you'd do the same thing 00:08:20.93\00:08:23.91 for your lifetime goals, your 3-5 year goals, 00:08:23.94\00:08:28.79 and your next 6 months. 00:08:28.82\00:08:30.35 And have you done this? Yes I have 00:08:30.38\00:08:32.30 And do you have, like in a book, with you at all times? 00:08:32.33\00:08:34.62 I carry a sheet of priorities around with me, 00:08:34.65\00:08:39.04 my top priorities. 00:08:39.07\00:08:40.10 I've got to tell you... I've known you now 00:08:40.13\00:08:41.92 for quite a few years and I KNOW this is true 00:08:41.95\00:08:44.62 because ever since I've met you, 00:08:44.65\00:08:46.70 I can remember, I think it was a big gray book 00:08:46.73\00:08:49.12 when I first met you... Yes 00:08:49.15\00:08:50.18 You had it there and you made this presentation 00:08:50.21\00:08:53.28 not exactly like this - you've thought about it 00:08:53.31\00:08:55.02 a lot since then, but you made that presentation to me, 00:08:55.05\00:08:57.50 and I got to tell you as well that for ME, 00:08:57.53\00:08:59.33 for the last 10 years now almost 00:08:59.36\00:09:02.22 because of that, I've had a calendar that has 5 years in it, 00:09:02.25\00:09:06.54 and it really has given, really, a great peace to me. 00:09:06.57\00:09:11.84 I think it is a stress-reliever in a sense 00:09:11.87\00:09:14.02 because I know where I'm going to be... 00:09:14.05\00:09:15.91 You know of course, God can preempt anything, 00:09:15.94\00:09:18.75 family situations can preempt anything, 00:09:18.78\00:09:20.62 but it really does - I'll just add my testimony to it. 00:09:20.65\00:09:25.01 You know, in the aftermath of the World Trade Towers incident, 00:09:25.04\00:09:28.55 one of the firemen that lost his life, 00:09:28.58\00:09:31.27 I think it was the chaplain of the fireman that lost his life 00:09:31.30\00:09:36.01 when he was administering last rites to one of the other 00:09:36.04\00:09:39.10 firemen there, he used to make the statement, 00:09:39.13\00:09:42.32 ..."That if you want to make God laugh, 00:09:42.35\00:09:45.27 tell Him what you're going to do tomorrow" 00:09:45.30\00:09:47.17 That's a good statement! 00:09:47.20\00:09:49.53 And I think there's something to that, 00:09:49.56\00:09:51.71 and at the end of this whole goal -setting process, 00:09:51.74\00:09:54.45 then we submit ALL our plans to God to be carried out 00:09:54.48\00:09:58.87 or given up as His providence will indicate. 00:09:58.90\00:10:00.70 It doesn't mean the goal-setting process isn't important. 00:10:00.73\00:10:03.02 It find it VITALLY important. 00:10:03.05\00:10:04.88 It has been so important to me over my life... 00:10:04.91\00:10:07.89 When I was giving a presentation on time management 00:10:07.92\00:10:13.82 to a group from around the country who had come in 00:10:13.85\00:10:15.84 for a family life seminar and I was doing one of the 00:10:15.87\00:10:17.68 workshops there and several years later, 00:10:17.71\00:10:20.68 I was doing my stress management seminar in San Diego, 00:10:20.71\00:10:22.96 and a lady came up to me in that seminar, 00:10:22.99\00:10:24.78 and she said, "You know, I was in that 2 or 3 years ago 00:10:24.81\00:10:27.48 when you did that time management seminar, 00:10:27.51\00:10:29.07 I was in that and ever since then, it's changed my life. 00:10:29.10\00:10:32.29 So I know these are very powerful principles, 00:10:32.32\00:10:34.66 so you determine your priorities. 00:10:34.69\00:10:36.32 Now I remember once, we were at a retreat together... 00:10:36.35\00:10:38.69 You may not remember this but this was many years ago, 00:10:38.72\00:10:41.40 and at that particular retreat, someone shared with me 00:10:41.43\00:10:44.38 the importance of prayer in this whole process, 00:10:44.41\00:10:47.79 and then you have as well. 00:10:47.82\00:10:49.32 You have a special prayer that you say... 00:10:49.35\00:10:51.31 I mean one of the prayers that I say every day is... 00:10:51.34\00:10:53.92 "What is coming between me and you Lord" 00:10:53.95\00:10:55.51 "What is coming between me and someone else" 00:10:55.54\00:10:56.99 "What do you want me to do about that?" 00:10:57.02\00:10:58.95 "What do you want to replace that with?" 00:10:58.98\00:11:00.42 "And what do you want me to do right now?" 00:11:00.45\00:11:01.54 It helps me set those priorities for that day. 00:11:01.57\00:11:04.10 But you have a special prayer as well that you share... 00:11:04.13\00:11:06.61 That's worked very well for me and that prayer is simply this - 00:11:06.64\00:11:09.53 "Lord, crowd the bad out of my life with the good" 00:11:09.56\00:11:14.21 "And then crowd the good out of my life with the best" 00:11:14.24\00:11:17.67 That's a great prayer. 00:11:17.70\00:11:19.00 It has been so powerful in my personal walk with God, 00:11:19.03\00:11:23.05 and in my professional life and in my family life as well... 00:11:23.08\00:11:26.24 Because what happens is, Don, God gives you more and more 00:11:26.27\00:11:29.97 important and top priorities and they become passions to you. 00:11:30.00\00:11:39.04 How do you determine a top priority... 00:11:39.07\00:11:40.38 Well again, it's a matter of saying... 00:11:40.41\00:11:41.79 If you could only accomplish ONE thing on your list, 00:11:41.82\00:11:43.97 what would you want it to be? 00:11:44.00\00:11:45.13 And then if you could accomplish a second one, 00:11:45.16\00:11:46.42 what would you want it to be, and so forth, 00:11:46.45\00:11:47.53 right on down the list - 00:11:47.56\00:11:49.49 that's how you determine your top priorities. 00:11:49.52\00:11:52.85 We want to talk a little bit more about those 00:11:52.88\00:11:54.40 top priorities when we come back. 00:11:54.43\00:11:56.71 We want to talk about how it is that you can accomplish 00:11:56.75\00:12:01.10 or once you prioritize these goals, what do you do? 00:13:24.32\00:13:26.19 Well Don, sometimes we have - like at my work right now, 00:13:26.22\00:13:29.37 I work with Pastor Dwight Nelson at the Pioneer Memorial Church 00:13:29.40\00:13:31.84 I'm one of the associate pastors there. 00:13:31.87\00:13:33.21 I have 20 different ministries I'm responsible for. 00:13:33.24\00:13:36.15 Well I know I can't give equal time to all those 20 ministries, 00:13:36.18\00:13:38.69 so I sat down and I prioritized them from 1 to 20, 00:13:38.72\00:13:42.21 in terms of what I thought I could contribute 00:13:42.24\00:13:44.75 and in terms of the ministry of the church, 00:13:44.78\00:13:46.88 and give the most value to the 00:13:46.91\00:13:48.25 ministry of the church with my time there... 00:13:48.28\00:13:50.65 And then when I got those done, 00:13:50.68\00:13:52.07 I sat down with Pastor Dwight Nelson, 00:13:52.10\00:13:53.72 and I showed him this list of 20 and I said, 00:13:53.75\00:13:57.80 "Pastor Dwight, these 4 or 5 at the top are about all I can 00:13:57.83\00:14:01.22 REALLY invest my time in to make the biggest difference, 00:14:01.25\00:14:04.42 and I think this is it... What do you think?" 00:14:04.45\00:14:06.44 He looked at it and he tended to agree with me; 00:14:06.47\00:14:09.16 maybe there was a little shuffling around 00:14:09.19\00:14:10.37 of those 4 or 5. 00:14:10.40\00:14:11.60 And then I know when I go out of there, 00:14:11.63\00:14:13.91 because I have not only my own list of priorities, 00:14:13.94\00:14:16.02 but with my employer as well, and then I know 00:14:16.05\00:14:19.20 I have the freedom then to invest my time, 00:14:19.23\00:14:21.27 my major time for the church in those areas. 00:14:21.30\00:14:23.36 So you don't feel like you're "Harry Smatter" a little bit 00:14:23.39\00:14:25.97 for every matter - you're FOCUSED-IN... 00:14:26.00\00:14:28.43 You know exactly what to do. I can't say that I 00:14:28.46\00:14:29.73 never feel that way, but at least I know 00:14:29.76\00:14:32.43 I know what's most important and I've been empowered 00:14:32.46\00:14:35.01 by his choice as well as my own to go for that. 00:14:35.04\00:14:38.57 So once you've prioritized some goals, 00:14:38.60\00:14:40.73 what's the next step, what do you do? 00:14:40.76\00:14:42.32 Okay the next step, Don, and this is very important, 00:14:42.35\00:14:44.40 and we'll go through several steps here quite quickly. 00:14:44.43\00:14:47.24 ...is to then list activities that will enable you 00:14:47.27\00:14:51.41 to accomplish those goals. Okay 00:14:51.44\00:14:53.49 And we're going to go through several slides here 00:14:53.52\00:14:55.28 quite quickly now because I want to put up some goals 00:14:55.31\00:14:58.74 Just some goals I just wrote down quickly. 00:14:58.77\00:15:00.24 Landscape the yard by August. 00:15:00.27\00:15:02.35 Complete a project at work on schedule. 00:15:02.38\00:15:04.24 Vacation next fall in Florida. Kind of mixed them up here, 00:15:20.84\00:15:22.51 kind of mixed them up, I just wrote down some goals. 00:15:22.54\00:15:24.28 Okay, the next slide then will be prioritizing those goals 00:15:24.31\00:15:29.57 and I do it this way primarily- you notice I have on there - 00:15:29.60\00:15:32.77 "Read Romans this month," and I may say 00:15:32.80\00:15:34.98 read biography on Mother Theresa or something. 00:15:35.01\00:15:37.56 This is for a secular audience, but I don't put them 00:15:37.59\00:15:40.59 as a top goal, but I want to get it up 00:15:40.62\00:15:42.76 there and get it relatively high. 00:15:42.79\00:15:44.40 Let's say I just prioritized my goal here... 00:15:44.43\00:15:47.10 I say... "Oh, I want to complete that work project on schedule" 00:15:47.13\00:15:49.93 And I want to just work right down the goal... 00:15:49.96\00:15:53.49 Then what I do is, I take the top priority, 00:15:53.52\00:15:55.60 completing that work project on schedule, 00:15:55.63\00:15:57.37 I take a clean sheet of paper, write that down at the top, 00:15:57.40\00:16:00.13 and I say - "What are the activities I need 00:16:00.16\00:16:03.08 in order to accomplish that. " 00:16:03.11\00:16:04.15 Well, I just wrote down 3 here... 00:16:04.19\00:16:05.69 ...Get the needed equipment. 00:16:05.72\00:16:06.80 Whenever there is some equipment I need, get that. 00:16:06.83\00:16:08.77 Make sure that I have the support personnel 00:16:08.80\00:16:11.44 that I need to help me with this, 00:16:11.47\00:16:13.07 make sure they're informed, 00:16:13.10\00:16:14.18 and they are committed to helping me with this. 00:16:14.21\00:16:16.75 And then adjust my personal schedule, 00:16:16.78\00:16:18.45 so I can actually make the deadline. All right 00:16:18.48\00:16:20.41 And then I go BACK to that list again of priorities, 00:16:20.44\00:16:23.06 I pick out #2 and it's going to be family reunion at Christmas. 00:16:23.09\00:16:27.33 I take a clean sheet of paper again, 00:16:27.36\00:16:28.97 go back to that clean sheet of paper and I start writing 00:16:29.00\00:16:31.56 down the things I need to do to achieve that. 00:16:31.59\00:16:34.30 Plan details with my wife, gain consensus on meal plans; 00:16:34.33\00:16:38.33 are my wife and I going to serve all the meals 00:16:38.36\00:16:41.12 or are different members of the family going to 00:16:41.15\00:16:42.65 take responsibility for different meals. 00:16:42.68\00:16:44.03 ...The sorbet or the soufflé. Exactly! 00:16:44.06\00:16:47.44 Get the extra bedding I need and so forth. 00:16:47.47\00:16:49.42 And just basically work it through that way. 00:16:49.45\00:16:52.61 Now you not only have goals, you not only have priorities, 00:16:52.64\00:16:54.93 but you have now some activities to accomplish those 00:16:54.96\00:16:57.79 priorities written down. 00:16:57.82\00:16:58.92 Boy, it kind of overwhelms me to hear all that, 00:16:58.95\00:17:00.98 but that's the nitty-gritty isn't it? 00:17:01.01\00:17:03.12 You know, I'll tell you - The time you invest, 00:17:03.15\00:17:05.73 that may take several hours, but the time you invest in that 00:17:05.76\00:17:08.38 is going to save you enormous amounts of time later on, 00:17:08.41\00:17:11.23 and it's going to help you actually accomplish the things 00:17:11.26\00:17:13.70 that you have determined, prayerfully, 00:17:13.73\00:17:15.85 are the most important to you, to your family, 00:17:15.88\00:17:18.61 and to your occupation. 00:17:18.64\00:17:20.44 I want to ask another question, 00:17:20.47\00:17:21.64 but before I do, I'd just like to share something... 00:17:21.67\00:17:23.09 You know, sometimes I've done SOME of this, 00:17:23.12\00:17:24.99 and I have a computer program that will take the things 00:17:25.03\00:17:28.26 I haven't yet accomplished and put them on to the next day... 00:17:28.29\00:17:32.64 That can get pretty discouraging after a couple of days, 00:17:32.67\00:17:36.22 but, you know, it does help me that I know I'm a little behind 00:17:36.25\00:17:39.77 on that and then I'll take a day and I'll have to 00:17:39.80\00:17:40.92 knock out 10 things! Yeah! 00:17:40.95\00:17:43.70 Right - and you know what? 00:17:43.73\00:17:45.11 The next day you have complete freedom because if you 00:17:45.14\00:17:46.85 change your mind, you can do some other things on that day. 00:17:46.88\00:17:48.56 Sometimes I don't even GET to my schedule for that day, 00:17:49.53\00:17:52.34 but let's move on here because we're getting to that. 00:17:52.37\00:17:55.20 Once I got my priorities set and those goals, 00:17:55.23\00:17:57.78 and done what you've said... these are the activities, 00:17:57.81\00:17:59.95 what next - what do I do? 00:17:59.98\00:18:01.01 Okay, the 4th step, Don, is when we're forming our 00:18:01.04\00:18:05.39 "to do list" for the day, we make sure that on that 00:18:05.42\00:18:08.03 "to do list" are some of those activities 00:18:08.06\00:18:10.23 from our high priority items. 00:18:10.27\00:18:11.58 In order to accomplish the high priority items, 00:18:11.62\00:18:13.25 we had certain activities - we want to make sure that 00:18:13.28\00:18:15.59 some of those activities are on our "to do list" 00:18:15.62\00:18:18.11 every single day - so it's at least on the list 00:18:18.14\00:18:22.57 And if possible, to make it as 00:18:22.60\00:18:24.35 high priority on the list as we can so we're 00:18:24.38\00:18:26.55 contributing toward that; 00:18:26.58\00:18:27.66 we're doing something toward accomplishing those. 00:18:27.69\00:18:30.63 Now, I gotta tell you, Don, every step along the way here... 00:18:30.66\00:18:33.80 People that start write down some goals, 00:18:33.83\00:18:36.56 then find it's sometimes difficult to do prioritization 00:18:36.59\00:18:39.34 because it's not hard to put down #1 and 2, 00:18:39.37\00:18:42.10 but when you get down to #8, 9 and 10 on the list, 00:18:42.14\00:18:45.18 and people realize they may not be getting to those 00:18:45.21\00:18:47.52 for some time if they are really working #1 and 2... 00:18:47.55\00:18:52.45 really focused on #1 and 2, it's discouraging because 00:18:52.48\00:18:55.30 they think it's too important not to be working on those... 00:18:55.33\00:18:57.93 And so, some people bail out at that point. 00:18:57.96\00:19:01.18 They bail out because they're just overwhelmed. 00:19:01.21\00:19:03.39 Because they want to treat everything equal... 00:19:03.42\00:19:07.23 which means they're not going to accomplish near as much 00:19:07.26\00:19:10.66 toward their high priority items - what really is deepest 00:19:10.69\00:19:13.24 in their heart by treating everything equal. 00:19:13.27\00:19:15.02 You can't treat everything equal and get it all done... 00:19:15.05\00:19:16.98 And how do you know when people ask you to do things, 00:19:17.01\00:19:19.76 how do you know what to say "yes" to, 00:19:19.79\00:19:20.88 and what to say "no" to? 00:19:20.91\00:19:22.07 When you have top priority goals 00:19:22.10\00:19:23.72 that have been prayerfully established, 00:19:23.75\00:19:25.08 that empowers you - it gives you permission to say "no" 00:19:25.11\00:19:28.17 to things that don't contribute toward those 00:19:28.20\00:19:30.30 if they are really prayerfully set goals. 00:19:30.33\00:19:32.74 Now we're all going to have to make discernment during the day; 00:19:32.77\00:19:35.05 sometimes it will be 5 o'clock in the day, 00:19:35.08\00:19:36.80 and I haven't even got to one 00:19:36.83\00:19:37.89 of those high priority items on my list yet. 00:19:37.92\00:19:39.61 Boy, that sounds almost like every day for me. 00:19:39.64\00:19:41.44 Well.. and you know what, the best time management 00:19:41.47\00:19:44.67 experts in the world acknowledge that much of 00:19:44.70\00:19:47.71 their time, they don't have control over it. 00:19:47.74\00:19:50.12 The difference between those people and the people that 00:19:50.15\00:19:52.85 don't accomplish the same things as much as the experts do 00:19:52.88\00:19:57.30 is the experts keep coming back, they know... 00:19:57.33\00:19:59.71 They have that built-in sense that at 5 o'clock in the day 00:19:59.74\00:20:02.94 if they haven't even got to one of the items on their list yet, 00:20:02.97\00:20:05.38 they still hopefully get to that 00:20:05.41\00:20:07.81 and if they get to the end of the day, they carry it over. 00:20:07.84\00:20:10.90 That's right, they carry it over to the next day. 00:20:10.93\00:20:12.61 No guilt - they just carry it over to the next day 00:20:12.64\00:20:14.34 because it's always on the list and they're going to get to it. 00:20:14.37\00:20:17.57 They're going to get to it and they are going to 00:20:17.60\00:20:18.81 accomplish it and when that gets crossed off, 00:20:18.84\00:20:20.27 another item on accomplishing another one of those activities 00:20:20.30\00:20:23.27 to accomplish their high priority goals 00:20:23.30\00:20:24.66 gets moved over to that list... 00:20:24.69\00:20:26.33 And it's just always there in front of them, 00:20:26.36\00:20:28.25 and they just keep chipping away at it, 00:20:28.28\00:20:29.76 chipping away at it - sometimes only a few minutes, 00:20:29.79\00:20:31.63 sometimes they don't even get to it, 00:20:31.66\00:20:32.76 sometimes they have a block of several hours in a day 00:20:32.79\00:20:34.66 where they can work on those things. 00:20:34.69\00:20:36.30 THAT'S what it takes! 00:20:36.33\00:20:38.06 Just dogged determination, but understanding that 00:20:38.09\00:20:41.36 God is also the God of the interruption as well. 00:20:41.39\00:20:43.61 That's exactly right - that's the Lord... 00:20:43.64\00:20:47.60 I lay all my plans at Your feet to be carried out 00:20:47.63\00:20:51.36 or given up as Your providence will indicate. 00:20:51.39\00:20:53.74 That's a great prayer... Always have to be sensitive to that. 00:20:53.77\00:20:57.27 Now the next thing, I suppose, is just like you said, 00:20:57.30\00:21:00.88 Do it - getting it done - go for it! 00:21:00.91\00:21:03.39 That's exactly right. 00:21:03.42\00:21:05.00 And that's, that's again, it's not easy for people 00:21:05.03\00:21:09.28 because when they get up in the morning, 00:21:09.31\00:21:10.87 there are people calling them, wanting them to do things, 00:21:10.90\00:21:13.49 there are little urgencies that come up, 00:21:13.52\00:21:16.24 but they have to have that; 00:21:16.27\00:21:18.55 when they have those high priority activities 00:21:18.58\00:21:21.33 on their list, what they want to do is to focus 00:21:21.36\00:21:25.39 on those things and some time during the day 00:21:25.42\00:21:27.44 they're going to chip away at those things... 00:21:27.47\00:21:29.54 That's what they're trying to do and look, Don, 00:21:29.57\00:21:31.60 sometimes you get blocks of time. 00:21:31.63\00:21:33.27 You're sitting in an airport and now we're going to have, 00:21:33.30\00:21:35.86 I understand, a little bit more time at the airports; 00:21:35.89\00:21:39.03 getting checked in and sitting there waiting for the plane, 00:21:39.06\00:21:42.80 and all those kinds of things... 00:21:42.83\00:21:44.80 so what we do is - Take advantage of that time! 00:21:44.83\00:21:46.76 Exactly - take advantage of those times. Cell phone! 00:21:46.79\00:21:52.19 There are block times, you can block out times too. 00:21:52.22\00:21:55.09 When you don't answer the phone because you can always make 00:21:55.12\00:21:56.98 call-backs and have the answering machine take calls, 00:21:57.01\00:22:00.13 and work on some of these things... 00:22:00.16\00:22:01.94 There are all kinds of ways to do it, 00:22:01.97\00:22:03.78 but you have to just keep after it. 00:22:03.81\00:22:05.08 Now I know that your answering machine does work, 00:22:05.11\00:22:07.09 and that you do screen calls - I know that 00:22:07.12\00:22:08.87 I've even been screened out occasionally, 00:22:08.90\00:22:11.02 but yeah, I think that's a good principle. 00:22:11.05\00:22:14.55 I've got an answering machine though - that truly picks up 00:22:14.58\00:22:17.62 and I don't know that it picks up, 00:22:17.65\00:22:19.42 because I don't like that feeling that people might get 00:22:19.45\00:22:21.67 that - "Hey, he's listening and he has said, 00:22:21.70\00:22:23.73 I'm not going to talk to that person" 00:22:23.76\00:22:25.37 So I have this - I don't know if that ever came up with you, 00:22:25.40\00:22:27.70 but it's true - the phone when it rings is not always 00:22:27.73\00:22:31.91 a top priority. 00:22:31.94\00:22:33.69 Okay, so the next thing after "doing it" 00:22:33.72\00:22:37.39 in your seminar you talk about a story that I thought was 00:22:37.42\00:22:39.62 really good about a $25,000 system of management 00:22:39.65\00:22:43.11 Tell me a little bit about that... 00:22:43.14\00:22:44.33 Well this is a story of Charles Schwab... Don 00:22:44.36\00:22:47.41 He was the chairman of "Bethlehem Steel" 00:22:47.44\00:22:49.78 He owned Bethlehem Steel and he hit a plateau in his business 00:22:49.81\00:22:55.59 Bethlehem Steel just wasn't going anywhere. 00:22:55.62\00:22:57.44 And this is a picture of him 00:22:57.47\00:22:58.70 He didn't know what to do with it... 00:22:58.73\00:22:59.88 Well it's a picture we use in our seminar... 00:22:59.91\00:23:02.74 a cute little graphic there. All right 00:23:02.77\00:23:05.11 And so he called in a time management expert - Ivy Lee 00:23:05.14\00:23:09.92 And Ivy Lee followed him around for several days, 00:23:09.95\00:23:13.20 and then gave him a list of 3 things to do 00:23:13.23\00:23:15.43 at the end of that period of time. 00:23:15.46\00:23:16.84 And Charles Schwab looked at it, it looked simple enough, 00:23:16.87\00:23:19.21 he said, "Okay, what do I owe you?" 00:23:19.24\00:23:20.77 And Ivy Lee said, "I tell you what you do, 00:23:20.80\00:23:30.71 you try these things for the next few months, 00:23:30.74\00:23:36.68 and then send me what you think it was worth. " 00:23:36.71\00:23:39.04 And at the end of that time, this was many years ago, 00:23:39.07\00:23:41.24 when $25,000 was real money, 00:23:41.27\00:23:43.97 and Ivy Lee got a check for $25,000. 00:23:44.00\00:23:46.76 Is that right? Yeah... I tell you what, 00:23:46.79\00:23:49.08 $25,000 is not really real money... 00:23:49.11\00:23:51.08 Now, I'd take $25,000 from you if you had it! I understand... 00:23:51.11\00:23:55.11 So $25,000- he said that was so helpful... 00:23:55.14\00:23:57.67 For just doing those 3 things every day. 00:23:57.70\00:23:59.52 And so this individual helped him prioritize, 00:23:59.55\00:24:02.82 and get things going and that was just worth all the... 00:24:02.85\00:24:05.78 What that list of 3 things was - Okay, what were they? 00:24:05.81\00:24:09.18 #1- Before you go to bed at night, make a list of the 00:24:09.22\00:24:12.56 6 most important things you have to do the next day. 00:24:12.59\00:24:16.03 So, before you go to bed... is that important? 00:24:16.06\00:24:18.64 No, it's not - it's not, I do mine in the morning. 00:24:18.67\00:24:21.33 Okay... Every morning and I do it during my prayer time. 00:24:21.37\00:24:24.77 I actually formulate my "to do list" 00:24:24.80\00:24:26.91 during my prayer time, and I carry stuff over 00:24:26.94\00:24:29.44 from the day before and make it a matter of prayer... 00:24:29.47\00:24:32.23 But Ivy Lee suggested - you do this before you go to bed 00:24:32.26\00:24:35.07 And then #2- when you get up in the morning, 00:24:35.10\00:24:37.63 you start working on #1 and you work on it until it's done. 00:24:37.66\00:24:42.39 You prioritize that list of 6 things. 00:24:42.42\00:24:44.53 Sounds like something my wife has told me before... 00:24:44.56\00:24:46.40 Then you work on it until it's done... All right 00:24:46.43\00:24:48.35 And then when you're done with #1, 00:24:48.38\00:24:50.00 you start working on #2 and work on it until it's done, 00:24:50.03\00:24:52.92 and work your way through list like that - 00:24:52.95\00:24:54.94 all the way through the list that way, 00:24:54.97\00:24:57.06 and do that every single day, he said, 00:24:57.09\00:24:59.10 and it will change your business. 00:24:59.13\00:25:00.82 Well, Charles Schwab found it did. 00:25:00.85\00:25:04.34 It did what it needed to do for him, 00:25:04.37\00:25:06.65 and it was worth that much money to him, 00:25:06.68\00:25:08.26 a very valuable thing for him. 00:25:08.29\00:25:09.90 Now I find, Don, that life doesn't work that way. 00:25:09.93\00:25:13.15 I don't get started on #1 and work on it until it's done. 00:25:13.18\00:25:17.48 But I try every day to have my list of things to do, 00:25:17.51\00:25:20.46 and I try to prioritize. 00:25:20.49\00:25:22.25 The most important things on that list are at the top, 00:25:22.28\00:25:25.17 and I want to try to get to that as fast as I can 00:25:25.20\00:25:29.10 get to that and start working down that list 00:25:29.13\00:25:32.19 to get the most important things done. 00:25:32.22\00:25:34.43 And you do that every single day, 00:25:34.46\00:25:36.18 and I find that is the absolute key in this. 00:25:36.21\00:25:39.64 All right, so that's worth $25,000 to Charles Schwab 00:25:39.67\00:25:43.23 but to you and I as well because we can get that done. 00:25:43.26\00:25:45.79 You know, one of the things I was reading about 00:25:45.82\00:25:48.31 one of these early religious communities in America that 00:25:48.34\00:25:51.10 spawned so much of our current industry, 00:25:51.13\00:25:53.50 and they did say that if you could make the list at night, 00:25:53.53\00:25:57.33 their whole philosophy - I just read this recently, 00:25:57.36\00:25:59.89 was that your mind could be thinking about it all night, 00:25:59.92\00:26:03.85 even while you're asleep, so when you get up 00:26:03.88\00:26:05.86 you're ready to do #1. 00:26:05.89\00:26:07.24 Well, and I believe Stephen Covey also recommends 00:26:07.27\00:26:10.05 that in his book, "First Things First" 00:26:10.08\00:26:11.70 an excellent book on time management as well. 00:26:11.73\00:26:13.43 Well is there anything else, we are talking about 00:26:13.46\00:26:15.85 time management - we have only 1 minute left, 00:26:15.88\00:26:18.08 so we have to be careful with our time, 00:26:18.11\00:26:19.29 but is there anything else you'd like to add? 00:26:19.32\00:26:22.39 Don, I think if there was one single phrase that a person 00:26:22.42\00:26:26.36 kept in mind constantly, it would be - 00:26:26.39\00:26:31.06 Remember that the main thing is the main thing 00:26:31.09\00:26:34.69 to keep the main thing! 00:26:34.72\00:26:35.91 Okay, the main thing is to keep the main thing the main thing! 00:26:35.94\00:26:39.52 There you go.
